Norwood PMA Monthly Meeting Minutes

Date: Tuesday, December 5, 2023

Time: 7:00pm – 8:30pm

Location: Balch Elementary School Library

Call to Order

The meeting was called to order at 7:05pm with a quorum present.

Attendees Present:

Wendy Keats and Eneida Shkurti (Co-Presidents), Gigi Michalec (Vice President), Dany Abdallah (Treasurer), Siuyien MatthewsKelly Farewell, Steven Lee, Linda Lee, Behbin O’Connell, and Bill Maguire.

Welcome and Introductions

Congratulations to Suiyien Mathews for being inducted into The Fellowship of the Knights of Norwood.

Approval of Previous Meeting Minutes

Motion to approve November 7, 2023, PMA Meeting Minutes – second and approved.

Director of Fine Arts Update

Eneida read Jeff Kerr updates delivered via email. The updates are listed below.

  • NHS had 18 students accepted into the Southeast District Music Festival of those, 8 received all state recommendations.
  • Congratulations to the NHS Madrigals for another successful Madrigal Banquet, the 34th year, and the two newly knighted PMA members, Siuyien Mathews and Kristen Faller. 
  • Thank you to Siuyien Mathews and Bebhinn O’Connell for all of the hours and hard work in the planning and execution of the event.
  • NHS Madrigals will be performing at the State House next Tuesday, December 12th. They will be leaving NHS around 9:30am and returning around 3pm. Jennifer is looking for one more adult volunteer and asked if anyone is available to join the trip. 
  • There will be a NPS Performance schedule to be shared out by the end of the month. The list is being compiled with a completion date of 12/20. This will list all of the events for the rest of the year, the times, and the locations.
  • Will be meeting with Elana Lorance soon to start planning for the Elementary Honors Ensemble.

Treasurer Updates

  • Financial report (copy of trial balance) reviewed and accepted.
  • Detailed overview of individual expenses and donations from November 8 – December 5 were discussed.
  • Copy of the fiscal year-end financials reviewed and accepted.
  • Tax filing (sections required in Form 990-EZ) reviewed and accepted.
  • Dany noted that as a non-profit 501(C)(3) there are certain tax status considerations and requirements which the organization must comply with. The gross income/assets has to be less than $200K during the fiscal year and Public Support and Investment Income percentages should stay below 33.5% for the past five years in order to maintain the status of “Private Foundation Charity Organization”.
  • The mailing address was transferred from the P.O. Box to the NHS address.

Ways and Means:

  • Humble Pie Christmas fundraiser is posted on the PMA website. Linda mentioned that the PMA makes $4 for each pie that we sell, 28 pies have been ordered to date. Pies pickup date and time are scheduled for December 18th from 5:30 – 7:30pm. Discuss sending more notices to the PMA communities. 
  • Linda mentioned that the merchandise budget has been approved to $2,000. Members discussed buying more generic merchandise which would be beneficial during home shows.
  • Brainstormed if merchandise can be sold at the upcoming school winter and spring events. The decision was made to continue selling the merchandise at high school events only. PMA does not sell enough merchandise at other Norwood school events.
  • Decision to transfer the e-promotion account information from K. Guarin to PMA address.
  • Ideas were brought up for potential fundraisers including Pasta, Bertucci, Chateau, Chipotle, Car Wash and Hometown Arcade. 

Co-President / Board Members updates

  • Siuyien said the end of season Madrigal banquet was a success.
  • Show shirts/hoodies priced at $30. Wendy to confirm if embroider can be added as optional. Once confirmed, the price and timeframe will be posted online. 
  • The Fine Arts Semi venue is booked for January 26th from 6:00 – 10:00 at the Sheraton Four Points.
  • Discuss the marching band uniform and winter/rain coats. Siuyien will contact Mr. Conant to discuss a plan and see if we can move forward. 
  • Discussion around Marching Band publicity. Brainstorm if we can advertise through Norwood Community Media (NCM), especially recognition during town events where the marching band participates in.
