Motion made and seconded to approve the Minutes of April 12, 2017:  Approved

  1. Approval of Treasurer’s Report: Tracey Jones

New England Financial Annuity:  After meeting with Michael Mullin, financial planner, from Claro Advisors last month, the PMA discussed their investment options.  The best option would be to invest in a balanced fund with stocks in US large companies and some companies overseas.  Mr. Mullin will monitor our investment and rebalance as needed.

Motion made and seconded to dissolve the annuity and direct the treasurer to reinvest in a manageable account: Approved

The concession tables at Fine Arts events were very successful.

Liability insurance renewed for board members.

Discussed having an Ad book that will be used all year long at Fine Arts events and performances.

Ceramic Ornaments (100) have been made; designed with an image of the school tower taken by Judy Ice. They will be given to seniors at the Senior Banquet. Plan to sell for $10 at concerts and Norwood Day in September.

Jazz Night: Took place May 3, 2017 at the Sheraton Four Points and was a great evening. Rates will increase to $1250 next year. May need to look at other venues, but will consider returning.

Slate of Exec. Board: A five member Board of officers to be nominated for next year. The slate of officers needs to be presented at the annual meeting (Pop’s Night) on May 12th.

UNO Pizzeria & Grill Dough Raiser: May 19, 2017. The PMA will receive 20% of purchases made by customers with a flyer (includes bar tab). Fliers to be handed out at Pops Night and on the Town Common the evening of the Senior Prom. Must hand in flier when placing order.

Merchandise:  To be sold at Pops Night and at three CMS spring concerts.

Car Wash: June 10, 2017 (9am to 3pm). Arrive at 8:30am to set-up.

  1. Publicity: Ed Ferris

Schedules: Please forward any event schedules or performance results to Ed to put on the Website. He needs information on elementary school events. The PMA Scholarship applications have been posted.  PMA scholarships are awarded at graduation (awards at Pops Night).  The flier for the UNO Pizzeria & Grill Dough Raiser on May 19, 2017 has been posted in a PDF format for easy printing.  Flier will be shared on FB with Friends of Norwood Schools, Norwood PMA and Norwood Now.

  1. Director’s Report: C. Moen

Pops Night: C. Moen to organize the seating. There will be no intermission, but awards will be announced in the middle of the event.  Major scholarships will be awarded at graduation.  A. Campbell to arrange concessions and ticket sales. C. Moen suggests selling platters with cheese, crackers and grapes. Chips, candy and water will be available for sale. Tables will seat 420 people (205 sold to date). Discussed having student ushers or student servers so people seated at tables do not have to go to concession stand. Improvements will be made to ticket sales at the entrance in order to prevent long backups.

Fine Arts Trip: Not enough student interest for the Nashville/Memphis trip last year.  Considering just a Nashville trip for April Vacation 2018 in order to keep costs down.  Discussed various fundraising options.  Need the students to get excited about the trip and get involved with the fundraising.

Music Camp forms and recital forms have been distributed to students.

Great East Music Festival: Cost of the Great East $2000 more than expected.  May need to have student fundraisers to help defray the cost of the festival in the future.

  1. Quorum: 2016/2017 PMA Board, there are eleven (11) voting Board Members. In order to have a quorum, six (6) Board Members must be present.

Judges Meals: $150-$200 budget for post event meals for judges

Motion made and seconded to approve the Minutes of March 8, 2017:  Approved

  1. Approval of Treasurer’s Report: Tracey Jones

New England Financial Annuity:  Michael Mullin, financial planner, from Claro Advisors advised the PMA on investment options. An investment option with minimal fees would be best. Mr. Mullin stated fees would most likely be .005% of the asset per year. Also, It must be low risk since we depend on the interest to fund scholarships. The next step, if interested, would be to call MetLife to dissolve annuity and transfer to a new Fidelity account under the PMA name (not linked to an individual).

Majority of treasurer activity was with the MAJE and MICCA events.

The concession table for MICCA Choral was a great success.

The $1000 reimbursement we receive for hosting MAJE will be used to purchase jazz band risers.

We received a $750 donation from Verizon to recognize, Tom O’Malley, a Verizon employee who volunteers numerous hours to assist the music program.

Jazz Night: May 3, 2017. The rates for the Sheraton Four Points have increased from $500 to $750 to $1250 over the past few years.  C. Moen spoke to the Sheraton and negotiated the reduced room rental of $1000, but it will increase to $1250 next year. Discussed having Jazz Night at NHS or Norwood Theater next year. Ticket sales cover the cost of musician and rental fees and do not raise money. All Jazz students were asked to sell 5 tickets at $15pp. ($20 at the door).  Doors open at 7pm and the performance starts at 7:30pm.

Senior Awards Night:  May 25, 2017 at the Sheraton Four Points. A banquet for graduating seniors who participate in the music program. Invitations are ready to be sent. The gift will be the NHS clock tower ornament (to be made).

Slate of Exec. Board: A five member Board of officers to be nominated for next year. The slate of officers needs to be presented at the annual meeting (Pop’s Night) on May 12th.

The slate is a work in progress and will be decided at the next PMA meeting on May 10th.

Bylaw Review: Discussed forming a committee to review the bylaws over the summer. The current bylaws state you can’t be on the Board once your student graduates, but those parents have a lot of knowledge to share.

Schedules: Website has been updated with up-coming events to put on the website.  Ed inquired about the status of PMA Scholarship applications.  C. Moen needs to review the application and will release it for distribution after April Vacation. E. Ferris will post to the PMA website when available.

PMA scholarships are awarded at graduation (awards at Pops Night).

Alumni section has been added to provide information on their activities in the arts. The sponsorship page has been updated. Parent and student pages have been added in addition to a helpful links page.

  1. Music Camp: Lisa Silletti

August 13, 2017 through August 19, 2017.  Need two chaperones and one medical/nursing staff member.  Camp packets have been distributed at the Marching Band Kick-off meeting at CMS.

  1. Choral Updates: Phyllis McDonough

MICCA Choral :  The MICCA Concert and Choral Festival were very successful. Thank you to everyone who volunteered their time over the weekend.

  1. Director’s Report: C. Moen

Fine Arts Festival: April 7, 2017.  The event took place on a Saturday at NHS and C. Moen states she received positive feedback.  Discussed improving the visibility of the performance schedule or providing a pamphlet with event times.  More students are needed to help set up for performers.

Audience Etiquette: It is important that students/parents learn proper audience etiquette. The audience should stay for the entire performance and support all music groups.  Attendees should not enter or leave the auditorium during a performance.

Pops Night: C. Moen to organize the seating. Discussed having student ushers or student servers so people seated at tables do not have to go to concession stand.  Chips, candy and water will be available for sale. Access to the track will not be allowed.  Improvements will be made to ticket sales at the entrance in order to prevent long backups.

BigEast: Discussed having an accurate count of attendees (Do not double count students).

Over Night School Medical Form

Above are the forms you will need to fill out and return to the Fine Arts Department office at the High School.

Camp happens in August with students in the Marching Band grades 8-12, NHS Madrigal choir, String Orchestra, Chamber Choir & drama programs. The students attend a week long music camp at Camp Tapawingo in Sweden, Maine. The purpose of this camp is to provide an uninterrupted atmosphere in which students in these groups can prepare for their upcoming competitive and performance seasons.

For many years our Music Camp ventures have been a tremendous success, both musically and socially. The daily schedule includes 7-1/2 hours of daily rehearsals and classes, supplemented by a variety of recreational activities, which are an integral part of our program, such as swimming, softball, football and basketball.

New England Financial Annuity:  P. Campbell invited a financial planner to attend the next PMA meeting on April 12th to discuss our investment options.

Majority of activity was with the Classic and the Semi. The Classic had three bands with an outstanding balance. The semi had great attendance and the ticket price covered the cost (Sheraton prices have increased). Judges dinner after the classic cost more than expected. It was voted in the past that we limit the cost of the dinner. A student account line item was added and an Email was sent to seniors informing them of their student account balance.

  1. Special Guest: Maura Smith

Maura is a candidate for School Committee. She is a Norwood graduate, who received her B.A. in Theatrical Directing from Fordham University and her M.F.A in Film Production from Boston University. Maura has directed multiple theatrical productions for NHS.  She has served as Town Meeting Member for the last two years and has promised to fight hard to improve our schools and ensure that every student in Norwood receives a high quality and innovative education that gives them the skills they need not just to succeed, but to flourish.  She will have a meet and greet on March 16th at the OCC from 7:30 to 9:30 pm.

  1. Vice President: Terry MacDonald

MAJE: March 18, 2017 at NHS and CMS from 9am to 7pm. All Jazz ensembles, 12-13 bands, that received gold or high silver with invitation.  Concessions at NHS only.  CMS will come to NHS for concessions and awards at the end.  A band will provide entertainment while the judges are tallying scores.  Parent volunteers will get an email with position and times. Tickets at door $10, Students $5.  MAJE will reimburse for judges lunches and all expenses.

Jazz Night: The rates for the Sheraton Four Points have increased from $500 to $750 to $1250 over the past few years.  T. MacDonald has not signed a contract, but has May 3rd on hold. C. Moen to contact Sheraton about lowering their fee since it is a community event.

Ballots: Next year’s Board Member Nomination Ballots were distributed. If there are not enough parents interested in executive board positions, we may need to amend the bylaws to allow some current board members to remain on.

Ernie Boch Band:  It was suggested that the PMA ask Ernie Boch’s band to perform at NHS as a fundraiser. It was also suggested that students write letters to Mr. Boch to express concerns about the future of the music program.

Music Drives Us (Ernie Boch): Provides grants for needed capital expenses. PMA has received it in the past. Discussed applying for the grant.

  1. Publicity: Ed Ferris

Joe Hart Fundraiser for the PMA: Cancelled.  Joe sent an email out stating he would have his own fundraiser on May 6th, 7 to 10 pm at the Workmen’s Hall (donated hall).  He will not charge admission, but will accept donations to the Norwood Music Department.

Schedules: Needed for up-coming events to put on the website.  Inquired about the status of PMA Scholarship applications.  Once C. Moen releases it, It will be available from music teachers, guidance and PMA website.

  1. Music Camp: Lisa Silletti

August 13, 2017 through August 19, 2017.  Will need medical/nursing staff.  Will contact Mark Bell, EMT.  April 6th is the tentative Marching Band Kick off Meeting.

Camp forms will be distributed at that time.

  1. Choral Updates: Phyllis McDonough

MICCA Choral :  The MICCA Concert and Choral Festival is scheduled to take place on 3/31, 4/1 and 4/2. Numerous volunteers are needed. Judges have been contacted.  P. Maquis will record all 3 days, and AnnMarie Bustler will announce all 3 days. In order to use NHS Café equipment, we will need to hire food service staff. P. Campbell will check with Kate O’Malley. Pizza to be ordered from Olivios. Donations of brownies for sundaes and cases of water are needed. A volunteer form was emailed to all choral parents.

The result are in for the Massachusetts Instrumental and Choral Festival (MICCA).

Gold Medal Showcase

MICCA, with the support of the Boston Symphony Orchestra and Mechanics Hall, will sponsor its 18th annual Gold Medal Showcase in the spring of 2017. Ensembles that earn a gold medal rating at the 2017 MICCA Concert and Choral Festivals will be invited to perform at either Mechanics Hall on Sunday, April 9th, 2017 or Symphony Hall on Saturday, April 15th, 2017.  There is no admission charge for audience members.

MICCA’s first “Stars at Symphony” took place in 1999 at Symphony Hall.  The response was so overwhelming that the necessity to expand to a second venue became immediately apparent.  Ozawa Hall at Tanglewood opened its doors to MICCA in 2000.  Then due to construction constraints, it was moved to Mechanics Hall in 2005.  All venues have been operating at capacity since.

The Gold Medal Showcase performances are exceptional examples of Massachusetts’ young musical talent.

These are the results from the competitions that were hosted at the Coakley Middle School and the Norwood High School on March 18th, 2017.  A special thanks to the “JEFF HOLMES BIG BAND” for putting on a great show at the end of this years competition.

QuickBooks: New format of the treasurer’s report using QuickBooks.  P. Campbell likes that the checking account balance is highlighted. Discussed adding a “Student Account” line item. Graduating students transfer their student account balance to younger siblings. Unused accounts transfer into the general fund.

New England Financial Annuity:  P. Campbell invited a financial planner to attend the next PMA meeting to discuss our investment options.

Outstanding Scholarships: There are one or two scholarships that have not been issued.  Students have until March 1st to submit their grades and request payment.

Jazz Classic:  February 16, 2017.  4pm to 9pm at NHS. Nine bands will perform.  Tickets sold at the door. T. MacDonald will email volunteers with details.

Senior Awards Night:  May 25, 2017 at the Sheraton Four Points. A banquet for graduating seniors who participate in the music program. Will purchase 100 mugs which should last a few years.

Ballots: Next year’s board member nomination ballots will be distributed at the March meeting.

  1. Ways & Means: Kim Beaudet

Merchandise:  Discussed replenishing sweat pants with pockets (size small) and sending order forms to the elementary schools for presale.  Sales went very well at the performances.

Calendars:  Many years ago, the PMA sold calendars with pictures of music students and events.

Discussed making a calendar for next year. T. MacDonald to investigate the pricing.

Ceramic Ornaments:  A fundraiser to sell ornaments designed specifically for the PMA.  The owner, David Franciosi, will pay for all up-front costs and no shipping (lives in Norwood).  PMA will receive $3.00-$4.00 per ornament sold.  Discussed having a design contest for the music students or just using the school tower.

Joe Hart Fundraiser: March 10, 2017 from 7:30pm to 9:30pm at NHS.

Joe is part of a professional band that performs a variety of popular rock songs.  He has generously offered to hold a fundraiser for the PMA. He will incorporate music students into his performance. Sign-up sheets have been posted in the music rooms.  Tickets will be sold at the door.

Ed advertised the concert on FB and the PMA website.  Discussed having a feature story with Joe’s band on NHS Update to promote the concert.

  1. Director of Fine Arts: Cathy Connor-Moen

Discussed the state of the Fine Arts budget. The proposed budget cut of $106,500 will result in the loss of the following: NHS choral teacher, elementary string teacher, all elementary honor ensembles, all CMS extracurricular music groups, NHS Marching Band, Jazz Ensemble, and musical.

  1. NHS Principal: Jonathan Bourn

Discussed the state of the NHS budget. There is a two-million-dollar school budget gap. He is being asked to cut $442,000 from the NHS budget.  Unfortunately, extra-curricular activities, clubs, after school music programs and athletics need to be cut before core curriculum courses that are state requirements.  Will attempt to maintain activities that are needed to be competitive for college acceptance. After the first budget pass, NHS is slated to lose 8 FTE when 1 FTE needs to be added to function effectively.

Encourage parents to attend the School Committee Meeting on February 8, 2017 at 6PM in the auditorium.

  1. Choral Updates:

Choral/MICCA Coordinator:  Diane Coard has resigned.  The MICCA Concert and Choral Festival is scheduled to take place on 3/31, 4/1 and 4/2. Numerous volunteers are needed. C. Moen will contact former parent volunteers who have helped over the years.

  1. Action Items:

Quorum: 2016/2017 PMA Board, there are eleven (11) voting Board Members.  In order to have a quorum, six (6) Board Members must be present.
